PLEASE READ THIS INFORMATION CAREFULLY
Dear colleague,
You are being asked to take part in a survey that will help us understand and evaluate European Higher Education inclusiveness in relation to gender and sexual orientation. The survey is a part of a 36-month research project funded by the Erasmus+ Programme of the European Union involving researchers and experts from a consortium of 7 partners from 5 European countries (Italy, Ireland, Spain, Greece, and Slovenia) involving 4 universities: University College Dublin in Ireland; University of Naples “Federico II” in Italy; University of Barcelona in Spain; and Hellenic Open University in Greece. The consortium has developed an inclusiveness index to evaluate inclusion based on gender identity and sexual orientation in Higher Education Institutions (HEIs). This index was developed over a 2 year period and drew on external partner expertise in each participating country. Before you decide to participate in this survey, it is important that you understand why it is being done and what it will involve. Please read the following information carefully. Please ask the researcher if there is anything that is not clear or if you need more information.
TOPIC & TITLE OF SURVEY
The questionnaire is a part of a research project called "XENIA: Higher Education (HE) Inclusiveness Index".
WHAT IS THIS RESEARCH PROJECT ABOUT?
The project's aim is to develop and implement an inclusiveness index to support gender and LGBQ+ Equality, Diversity, and Inclusion (EDI) within European Higher Education Institutions (HEIs).
WHY ARE WE DOING THIS QUESTIONNAIRE?
The purpose of this questionnaire is to explore students’ and staff knowledge and awareness of specific policies, services, programmes, and resources that are implemented by European HEIs to combat discrimination based on gender identity and sexual orientation and foster an institutional environment in line with EDI principles.
WHY HAVE YOU BEEN ASKED TO COMPLETE THIS QUESTIONNAIRE?
You have been asked to complete this questionnaire because you have been identified as a person with specialist in-depth knowledge of a specific European HEI in relation to EDI (e.g., University of Naples Federico II, University College Dublin, University of Barcelona, Hellenic Open University, University of Ljubljana).
WHAT WILL COMPLETING THIS QUESTIONNAIRE INVOLVE?
You will be asked to respond to a series of questions about your HEI in relation to five key institutional categories. These are:
1. INSTITUTION
This category relates to the organisation of your HEI, its institutional frameworks and mechanisms for addressing sex, gender and sexually based discrimination and its commitment to EDI for all students and staff.
2. POLICIES & PROGRAMMES
This category captures policies implemented by your HEI that advocate for gender and LGBQ+ identities and programmes offered to staff and the student body to educate, promote EDI and to build allies.
3. PEDAGOGY & ACADEMIC PROGRAMMING
This category investigates the level of inclusiveness and diversity of academic programmes, curricula and pedagogy.
4. SUPPORT SERVICES
This category measures the presence, depth and relevance of the services that are available to staff and students to promote their inclusion and well-being. In this category, services such as health, housing, libraries, etc. are evaluated.
5. ACADEMIC LIFE
This category encompasses all aspects of educational experience and university life such as extra-curricular activities, events, campaigns, spaces etc. through the lens of gender and sexual orientation inclusion and diversity.
HOW LONG WILL THE QUESTIONNAIRE TAKE?
The questionnaire should take approximately 30 minutes to complete. You will be asked to create a login account and password. If you need, you can save your responses and return later to fill out the remaining parts.
WHAT WILL HAPPEN WHEN YOU COMPLETE THE QUESTIONNAIRE?
Once you have completed each category of the questionnaire, you will receive a rating reflecting the inclusiveness level of your HEI for that category.
Once you have completed the whole questionnaire you will receive the following:
• an overall score summarizing the level of gender and LGBQ+ inclusion in your HEI. NOTE: You can keep this information as belonging to your HEI only. If you would like to make this score public you will have the option to publish your HEI’s score on Xenia’s website “All Star Corner” which allows for comparisons with European HEIs who have also published their inclusiveness score on Xenia’s “All Star Corner”.
• a report on what your HEI’s strengths and weaknesses are.
• a series of best practice examples that can support and guide your progress in improving your Institution’s inclusiveness levels.
HOW WILL THE DATA BE USED?
The data from the questionnaire and from the survey administered to staff and students will be used exclusively for the following project’s purposes:
• The calculation of your HEI’s XENIA Index score, in relation to gender identity and sexual orientation.
• The result of the XENIA Index indicating your HEI’s inclusiveness score is private. This can only be published at your HEI’s request and with your HEI’s explicit permission.
HOW WILL WE PROTECT YOUR HEI’S PRIVACY?
The questionnaire data will be stored, through the use of technological means (such as encrypted passwords, access to data only by authorized personnel, etc.), by the research manager, in accordance with the principles set out in art. 5 EU regulation 2016/679, for a period not exceeding the achievement of the purposes and with specific regard to the conservation limitation principle according to art. 5, letter e), EU regulation 2016/679.
The processing of data collected in the context of research, their communication to third parties and/or publication for scientific purposes are allowed but can only occur after the data has been made anonymous, by and under the direct responsibility of the research manager.
WHAT HAPPENS IF YOU DECIDE TO WITHDRAW FROM THE PROJECT?
In the event that your HEI decides to withdraw from the project, all associated data collected will be immediately destroyed once you have sent us your explicit request.
WHAT ARE THE BENEFITS OF TAKING PART IN THIS RESEARCH PROJECT?
Participating in this research project will inform your HEI of the level of institutional inclusiveness based on a combination of your input in the questionnaire and the subjective perceptions of students and staff from the survey. This research will contribute to improving your HEI’s learning and working environments for students and staff.
Specifically, it will help:
• Support the mapping of services and opportunities that your HEI offers, based on their overall inclusion Index score.
• Inform your HEI’s ongoing EDI work to advance social inclusion policies, programmes and initiatives to contest all forms of discrimination based on gender identity and sexual orientation.
WHAT ARE THE RISKS OF TAKING PART IN THIS SURVEY?
There are no identifiable risks to you or your HEI.

ARE YOU ELIGIBLE TO TAKE PART IN THIS SURVEY?
If you are aged 18 years or over and are a formally registered student in a European HEI or a staff member of European HEIs (e.g., University of Naples Federico II, University College Dublin, University of Barcelona, Hellenic Open University, University of Ljubljana), then you are eligible to participate in this survey.
WHAT WILL HAPPEN IF YOU DECIDE TO TAKE PART IN THIS SURVEY?
You will be asked to fill in a survey. You will need to read this information sheet and the consent form carefully before agreeing to take part. Through a series of questions, this survey hopes to gain information about your perceptions and awareness of gender and LGBQ+ equality, diversity, and inclusion in your HEI. The survey should take approximately 20 minutes. At the beginning of the survey, you will be asked some personal information. Providing this information is optional. Any information you provide will be deidentified and therefore your responses will be anonymous.
Please Note: This survey is not asking you for personal experiences. This survey is about your perceptions of and engagement with your institution in relation to equality, diversity and inclusion.
HOW WILL YOUR DATA BE USED?
The data will be used exclusively for the following project’s purposes:
• to calculate the level of inclusiveness of your HEI in relation to gender identity and sexual orientation. This will be based on an overall score summarizing the level of gender and LGBQ+ inclusion in your HEI.
• to support your HEI to map services and opportunities that it offers, based on the overall inclusion score and a report on strengths and weaknesses in relation to gender and LBGQ+ inclusion.
• to support your HEI to identify priority areas of action for social inclusion policies, programmes and initiatives to combat all forms of discrimination based on gender identity and sexual orientation.
HOW WILL YOUR DATA BE PROCESSED?
The data collected will be processed in accordance with the EU Regulation 2016/679, guaranteeing the anonymity of the participants. In particular: personal data collected will not be transmitted to people not directly involved in the research and will be processed anonymously; the results will be presented in aggregate form.
HOW WILL WE PROTECT YOUR PRIVACY? The survey is anonymous. Your responses will not be identified with you personally. Your answers to the questions will be reported as part of a group response and not associated with any individual respondent.
Please DO NOT write your name or any form of identification on the survey.
